Contact Management Inside Automations

Contact Management in Sendigram EMS automations allows you to automatically organize, update, and maintain your contact database as part of your workflow. Instead of manually moving contacts between lists or changing their data, automations can perform these actions based on triggers, behaviors, or rules.

You can:

  • Add or remove contacts from groups
  • Update their profile attributes
  • Block or delete contacts
  • Control how changes to groups or segments affect your running automations

This helps keep your contact base clean, accurate, and responsive — ensuring messages always reach the right audience.

Contact-Related Actions in Automations

Within the Automation Builder, you can use several Actions specifically designed for contact management. These appear under the Actions tab and can be added anywhere after a trigger or rule.

1. Add Contact to a Group

This action automatically assigns contacts to one or more selected groups once they reach this step in the workflow.

How to configure:

  1. Add an Action block and choose Add Contact to a Group.
  2. Click Choose group to select one or multiple existing contact groups.
  3. Use the search field to find a specific group.
  4. To create a new group, click Create a group, give it a name, and save.

2. Remove Contact from a Group

Use this action to clean up lists or move contacts out of outdated campaigns.

  1. Add an Action block → select Remove Contact from a Group.
  2. Choose the groups you want to remove the contact from.
  3. Confirm to apply the change.

3. Update Contact Attributes

This action allows you to automatically edit or delete contact fields (attributes). Attributes can include name, city, source, purchase count, plan type, or any custom field.

  1. Add an Action → select Update Contact Attributes.
  2. In the right panel, you'll see two tabs:
    • Update attribute value — change or add new field values.
    • Delete attribute value — clear fields that are no longer relevant.
  3. Choose from the list of available attributes or create a new one.

4. Block Contacts

Blocking contacts prevents them from receiving future emails from selected senders or across your entire account.

  • Transactional emails only — blocks automated notifications but allows marketing.
  • Marketing emails only — blocks promotional content but allows system messages.
  • All emails from all senders — completely blocks communication.

You can optionally specify sender email addresses for targeted blocking.

5. Delete Contacts

Use this action to completely remove contacts from your database. Once deleted, they are not recoverable.

Handling Changes to Groups and Segments

Automations rely on active groups and segments for targeting. If one of these is modified or removed, the system helps you keep your automations consistent.

When a Group Is Deleted

  • The system marks affected steps with a red warning.
  • Hovering over the element displays a tooltip: "This group no longer exists. Please select another group."
  • The automation cannot launch until the issue is resolved.

To fix:

  1. Open the affected Action block.
  2. Choose a replacement group.
  3. Save changes to restore automation validity.

When a Segment Is Updated or Deleted

  • Segments are dynamic — their contact lists update automatically based on filters and conditions.
  • If a segment's conditions change, the automation adapts automatically.
  • If a segment is deleted, a warning appears similar to groups.
  • You'll need to edit or replace the step before launching or resuming the automation.

Email Validation and Deliverability Rules

When automations involve sending emails to contacts, Sendigram runs built-in validation checks to maintain high deliverability:

  • Email format validation — ensures valid email syntax.
  • Duplicate prevention — prevents sending to the same contact multiple times.
  • Blacklist monitoring — skips blocked or unsubscribed contacts automatically.
  • Hard bounce handling — removes invalid addresses from future sends.

Viewing Contact Flow and Status

During automation execution, you can track how contacts move through your workflow:

  • Hover over elements in the Builder to see the number of contacts currently at each step.
  • Click any Action block (like "Add to Group" or "Update Attribute") to see how many contacts have passed through it.
  • In the Statistics tab, view totals for "Contacts entered," "In progress," "Completed," and "Exited."
