What happens to your templates when you edit them outside of campaigns and automations?
A template can live in three places: in the My templates list, inside a campaign, and inside an automation. Understanding how these places relate helps you edit safely, without accidentally changing emails that are already scheduled or running.
Where you can edit a template
- From the My templates list. Go to Email Builder → My templates and click Edit in builder on a template card. This changes the template in your library.
- From a campaign or an automation. You open the email inside the campaign or automation and edit it there.
The key rule: a campaign or automation keeps its own version
When you add a template to a campaign or an automation, that email works as a separate version. Later edits to the template in My templates do not change emails that already use it, and edits made inside a campaign or an automation do not change the template in your library.
This matches how deletion works: if you delete a template that is used in a campaign, the campaign keeps the email unchanged.
What this means in practice
| What you do | What happens |
| Edit a template in My templates | Only the template in your library changes. Campaigns and automations that already use it are not affected. New campaigns and automations that you create from it will use the updated design. |
| Edit an email inside a campaign | Only that campaign changes. The template in My templates stays as it was. |
| Edit an email inside an automation | Only that automation changes. The template in My templates stays as it was. If the same email is used in several steps of the automation, Sendigram detects the duplicates and offers to update all identical elements. |
| Click Copy and edit on a gallery or library template | A new copy of the template is created and opened in the editor. The original template stays untouched. |
| Delete a template from My templates | Campaigns that use it keep the email unchanged. To remove the email from a campaign, delete it inside that campaign. |
| Rename a template or add tags | Only the template in your library changes. Names and tags are for organizing your library and do not affect sent or scheduled emails. |
How to update an email that is already in use
- Edit the template in My templates and save it.
- Open the campaign or automation that should use the new version.
- In the Email template block (campaigns) or in the Send email block (automations), choose Select template and pick the updated template again.
- Preview the email and send a test before the campaign or automation goes live.
What about running automations and scheduled campaigns?
- A scheduled campaign sends the version of the email it holds at the moment of sending. If you want to change it, edit the campaign itself.
- An active automation sends the version of the email stored in its block. To change it, open the automation and edit the email in the block; check how the change is applied to contacts who are already inside the automation.
Tips
- Duplicate a template before a big redesign, so the previous design stays available.
- Use clear names and tags, for example "Welcome email v2", to avoid choosing the wrong version.
- After any edit, send a test email.
